Leads that don’t get lost. And a report that shows the money.

I set up your CRM, bring enquiries from the website, social media and calls into one place, and configure GA4 and goals. So you can see which channel brings customers and which one just burns budget.

“The most expensive ad is the one that brought a lead the manager never saw. It takes a week to fix and costs less than a month of ad spend.”

Why people come to me

Four situations where I’m usually needed

Leads get lost

One comes in via DM, another by email, a third as a call after hours. Some never reach a manager at all.

Clients live in chat threads

The deal history sits in one employee’s chat. They go on holiday or leave, and the client leaves with them.

No idea what brings customers

Ads run in three channels, and nobody can say which one produces sales. The budget is split by guesswork.

The numbers don’t add up

The ad account shows forty leads, the CRM twenty-two, the accounts six sales. Nobody is there to reconcile them.

What’s included

What the work consists of

The scope depends on what you already have. Sometimes it’s a setup from scratch, sometimes it’s fixing what someone set up before me.

CRM selection and setup

We pick a system that fits your processes and budget, not the one everyone talks about. I configure fields, permissions and access.

Migration from your old system

Contacts, deals and history move over with nothing lost. I’ve done this migration for a law firm with leads coming in the whole time.

Pipeline and stages

Stages that reflect how you actually sell, not an out-of-the-box template. That’s what conversion is measured against later.

Website leads

Forms, quizzes and messenger buttons send the lead straight into the CRM — with the source, campaign and keyword.

Social media leads

DMs, Facebook, lead forms and messengers feed into the same pipeline instead of living separately on someone’s phone.

Telephony and calls

Connecting the number, call recording, a deal created automatically for every missed call.

Automations

Tasks for managers, reminders, stage changes, notifications. So the system runs without anyone dragging cards around by hand.

GA4 and goals

Events for form submissions, messenger clicks and calls. Without them, ads optimise blindly.

UTM tagging

One tagging scheme across all channels. Otherwise the report says “direct traffic” instead of the real lead source.

Report and training

A summary by channel and pipeline, plus short training for the team: without it, even the best-looking CRM sits unused.

How it works

One to two weeks

It’s a one-off project with a clear finish, not endless retainer work.

Days 1–2
Process reviewHow leads come in now, who handles them, where they get lost. I look at the website, social media, telephony and whatever is already set up.
Days 3–5
System setupCRM, pipeline, fields, access rights. Data migration if we’re moving from an old system.
Days 5–8
IntegrationsWebsite, social media, messengers and telephony are connected to the pipeline. I test each source with a test lead.
Days 8–10
AnalyticsGA4, goals, UTM tagging and a summary report by channel.
Final step
Training and handoverI show the team how to work in the system and hand over access and a short guide.

After that the system runs on its own. If you want to develop it — add stages, connect a new channel, build a dashboard — those are separate tasks, not a monthly payment.

Results

Some clients are not named because of NDAs. The numbers are real — I show the accounts on a call.

What we did

Leads came in from ads, social media and calls, but got lost between channels. Managers worked in an old system that showed neither where an enquiry came from nor what happened to it.

  • Moved to a new CRM without stopping the flow of leads
  • Connected telephony and call recording
  • Automatic capture of leads from the website, social media and calls
  • Automations that took manual routine off the managers
  • Rebuilt the service pages — the site’s conversion rate went up by 10%

What we did

Marketing was only taking shape: the team was being assembled and campaigns launched, but there was no shared tracking of results in any market.

  • A single system for setting tasks and tracking KPIs
  • Regular reporting for each of the three markets
  • Set up lead handover between marketing, the lawyers and sales
  • Onboarding processes for new staff

What we did

Sales were uneven and nobody could see why: there was no analytics, so there was no way to tell which campaign paid off.

  • Set up Facebook and Google analytics
  • Tagged events on the site
  • Rebuilt the landing page: conversion and loading speed
  • Split campaigns into sales and remarketing based on analytics data

→ The CRM and telephony subscriptions are paid directly to the providers: usually €10–30 a month per user. → Complex integrations with accounting and warehouse systems are priced separately. → Need ads for this analytics to measure? Google Ads and Meta Ads — from €500 a month per channel.

FAQ

Questions about CRM and analytics

Whichever fits your processes and budget. I’ve worked with different systems — from Ukrainian and Polish ones to international platforms. During the review I look at how many managers you have, which channels you use and what needs automating, and suggest two or three options with prices. If you already have a preference, I work with that.

Usually €10–30 a month per user, depending on the system and plan. You pay that directly to the provider. My work is a one-off setup from €500, and it doesn’t include the subscription.

A common story, and there’s usually one reason: the system was set up from a template, not around the real process. You don’t necessarily need to replace it — more often it’s enough to rebuild the pipeline around how you actually sell, connect the lead sources and show the team why it matters. We decide after the review.

About three hours for the whole project. One call to review processes, short clarifications along the way and a forty-minute training session for the team at the end. I do the rest.

That’s the main risk of any implementation, and it’s solved by setup, not persuasion. If the system needs ten clicks where it used to take two, nobody will use it. So I build the pipeline around the real process, automate the routine and show in the training that it saves time rather than adding work.

One-off. I set it up, test it, train the team and hand over access. After that the system runs without me. If you later need a new channel, extra automation or a dashboard, that’s a separate task with its own price, not a mandatory subscription.

To know what exactly is working. Without goals and tagging set up, the Google and Meta algorithms optimise for clicks and you split the budget by guesswork. Setting up analytics usually pays off faster than another thousand euros in ads: it shows which half of the budget you don’t need to spend.

I’ll show you where your leads are getting lost

I’ll look at how enquiries come in now, what’s set up and where the chain breaks. I’ll tell you what to fix first. If everything already works, I’ll tell you that too.

What you get

  • A map of how leads come in right now
  • A check of goals and tagging on your site
  • Which CRM fits your processes
  • Implementation plan, timeline and cost

What you won’t get

  • A system pushed on you because I get a commission
  • An invoice for the review itself
  • Unannounced calls
  • Implementation for the sake of it
